# Choose which QuickBooks item each kind of line posts to

> Map each kind of Moodiri invoice line, such as design fees, shipping or product charges, to one of your own QuickBooks Products & Services.

## Why use it

Out of the box, Moodiri posts each kind of line to its own default items in QuickBooks. If your accountant already has Products & Services set up, such as a *Design fees* or *Freight* item, your income reports only make sense when Moodiri uses them too. Mapping categories lines up each kind of line with the item your books expect.

## When to use it

- **Right after connecting QuickBooks**, before your first invoices post.
- **When your accountant changes your item list.**
- **When a push is held** because a mapped item was made inactive in QuickBooks.

## Before you start

- QuickBooks is connected. **Categories** only shows while a company is connected.
- You are the owner, or an admin with the **Integrations** permission.
- Your Products & Services exist in QuickBooks. Moodiri lists your active items.
- Open **Settings**, then choose **Integrations**.

## Steps

1. On **Integrations**, find **Categories** below the QuickBooks card and choose **Edit categories**.
2. For each kind of line, pick the QuickBooks item it should post to, or keep the Moodiri default.
3. Choose **Save categories**.

## How the mapping works

**QuickBooks categories** lists the kinds of Moodiri lines in groups, for example design fees, consultations, logged time, purchasing, product charges, shipping, installation and expenses. Each kind has a picker of your QuickBooks items, and a **Moodiri default** option that names the item it uses now.

## What happens next

- You see **Categories saved. They apply to invoices sent to QuickBooks from now on.**
- The card updates to show how many kinds post to your items.
- New invoices post their lines to the items you chose.

## Limits

- Shown only while a QuickBooks company is connected.
- One QuickBooks item per kind of Moodiri line. Unmapped kinds keep Moodiri's default items.
- A mapping applies when an invoice is first sent to QuickBooks. Later pushes keep each unchanged line's item.
- If a mapped item becomes inactive in QuickBooks, the push is held with a plain message instead of posting somewhere else.
- Saving sends only the categories you changed, so two people editing at once don't overwrite each other.
- The item list shows up to the first 10,000 QuickBooks items.

## Troubleshooting

- **No active Products & Services are available in QuickBooks.** Keep the Moodiri defaults, or add items in QuickBooks and choose **Reload items**.
- **Couldn't load QuickBooks categories.** Choose **Try again**.

## Questions

### Do I have to map every kind?

No. Kinds you leave unmapped keep posting to Moodiri's default items.

### Will changing a mapping move invoices that already posted?

No. The mapping is used when an invoice is first sent to QuickBooks. Later updates keep each unchanged line's item.

### I added an item in QuickBooks and can't see it.

Choose **Reload items** in the dialog.
