# Close a project

> Finish a project cleanly: see every open invoice, unbilled hour and held retainer, decide what to do with each, then close.

## Why use it

Projects often end with loose threads: a draft invoice nobody sent, a final invoice still unpaid, hours that were never billed, a retainer still holding funds. Closing a project from this review puts all of it on one screen, so you decide what happens to each item before the job leaves your Active list.

## When to use it

- **The work is finished.** Clean up drafts, decide about unpaid invoices, and close.
- **The client ended the job early.** See what is outstanding and what you still hold, void what will not be paid, and refund held funds separately.

To put a job on hold instead, use **Pause project**: [Pause or close a project](https://docs.moodiri.com/projects/archive-a-project).

## Before you start

- You need the **Delete projects** permission.
- Deactivating phases also needs the **Time tracking** permission. Without it, phases are kept active.
- If a retainer request on the project is still waiting for payment, cancel the request or wait until the client pays. **Close project** stays unavailable until then.

## Steps

Same screen with numbered callouts: https://docs.moodiri.com/shots/projects--close-a-project-annotated.webp
1. Open the project and choose **Edit project**, the pencil at the top right of the project card.
2. Choose **Archive…** in the dialog footer, then **Close project**. Moodiri loads everything on the project that still involves money.
3. For each draft invoice choose **Keep** or **Delete draft**. For each sent, unpaid invoice choose **Keep open** or **Void**.
4. If the project has active phases, choose **Keep** or **Deactivate** for all of them.
5. Check the footer line **Still open after closing**, then choose **Close project**.

## What the review shows

The review groups what is still open on the project:

- **Draft invoices**: **Keep** or **Delete draft**.
- **Sent, unpaid invoices**: **Keep open** or **Void**.
- **Partly paid invoices**: kept open. They can't be voided until their payments are reversed or settled.
- **Correction replacements**: kept open until the correction is settled.
- **Unbilled time**: hours and value, kept as unbilled work. Deleting or voiding an invoice that included billed time returns those hours to unbilled work.
- **Active phases**: **Keep** or **Deactivate**, applied to all of them.
- **Held retainers** and **Client credit**: shown for reference. They stay as they are.
- **Retainer requests awaiting payment**: these block closing until they are paid or cancelled.

When nothing is open, the review says **No open money items**.

## What happens next

- Moodiri carries out each action you chose. When all succeed, the project is marked completed, moved to **Archive**, and you return to the projects list.
- If any action fails, the project stays open. The dialog lists which actions completed and which did not, and reloads the review so you can try again.
- Voided invoices stay void, even if you reopen the project later.
- Refund held retainers from the retainer itself: [Cancel or refund a retainer](https://docs.moodiri.com/financials/cancel-or-refund-a-retainer).

## Limits

- The review covers draft invoices, sent unpaid invoices, partly paid invoices, correction replacements, unbilled time, active phases, held retainers, retainer requests awaiting payment and client credit. Every item starts on **Keep open**.
- Per invoice you can delete a draft or void a sent, unpaid invoice. Partly paid invoices can't be voided until their payments are reversed or settled.
- Deactivating phases needs the **Time tracking** permission. Unbilled time is kept as unbilled work.
- Closing never moves held retainers or client credit. Refund them separately.
- If an invoice changes after you opened the review, closing is refused. Reload the review and decide again.
- A closed project can be reopened later from **Archive**. Voided invoices stay void.

## Troubleshooting

- **The project is still open. Review the results and try again.**: one of your chosen actions did not go through. Check the results list in the dialog, then try again from the refreshed review.
- **A retainer request on this project is still waiting for payment.**: cancel the request from the retainer, or wait for the client to pay, then close the project.

## Questions

### Does closing refund retainers or client credit?

No. Held retainers and client credit are listed so you can see them, but closing never moves money. Refund them separately.

### Can I reopen a closed project?

Yes. Open **Archive** on the projects list and choose **Restore**. Invoices you voided while closing stay void.

### Why can't I void a partly paid invoice here?

Money has already been received on it. Reverse or settle the payments on the invoice first, then void it from the invoice page if you still need to.
