# Onboarding walkthrough

> Nine short steps that set up your profile, business, pricing, payouts, plan, team, client defaults and first project before a client sees anything.

## Why use it

A client's first look at your firm is your portal, your invoices and your emails.
Onboarding gets the pieces they see (your business name, logo, portal address,
pricing and payment options) right before you send anything, and gets your team and
first project in place so you can start work straight away.

## When to use it

- **Right after you create your account.** Moodiri opens onboarding for the firm owner automatically.
- **When you come back after Save & exit.** You resume at the step you left.

## Before you start

- You are the firm's owner. Only the owner sees onboarding.
- Have your logo file ready (JPEG, PNG or WebP), and the email addresses of any teammates you want to invite.
- To accept online payments, have your business and bank details ready for Stripe. You can also do this later.

## Steps

1. In **Let's set up your profile**, add your **Full name**, and optionally a photo, title, phone number and hourly rate.
2. Under **What's your business called?**, enter your **Business name**, pick your client portal address and upload a logo.
3. Under **How do you price for clients?**, set your **Default markup**, or tick **I don't mark up products**.
4. Under **Get paid by your clients**, choose **Connect with Stripe**, or **I'll set this up later**.
5. Under **Choose how processing fees work**, pick who pays card and bank payment fees.
6. Under **Choose your plan**, pick monthly or annual billing, add seats for teammates, and choose **Continue to checkout**.
7. Invite teammates, set **Client and invoice defaults**, then create your first project or choose **Skip for now**.
8. Choose **Finish onboarding**. When **You're all set** appears, choose **Go to dashboard**.

## Step 1 Profile

Add your **Full name** (required), and optionally a **Profile photo**, **Title**,
**Phone number** and **Hourly rate**. Phone and hourly rate can be changed later. Your
hourly rate is the default for logged time. Change these any time in
[Profile](https://docs.moodiri.com/settings/profile).

## Step 2 Business

Enter your **Business name** (required); this is how clients see you. Under **Client
portal address**, choose the web address your clients will use. Moodiri checks that
it's free as you type. Then optionally **Upload logo**. Change these later in
[General](https://docs.moodiri.com/settings/general), [Branding](https://docs.moodiri.com/settings/branding) and
[Your portal address](https://docs.moodiri.com/client-portal/your-portal-address).

Only the owner and admins with the **Firm settings** permission can change these
details later.

## Step 3 Markup and pricing

Set your **Default markup**, the percentage added to product costs for client pricing.
If you don't mark up products, tick **I don't mark up products**. Every new project
starts from this default, and you can adjust it per project. See
[Invoicing](https://docs.moodiri.com/settings/invoicing).

## Step 4 Connect Stripe

Stripe lets clients pay invoices by card or ACH bank payment, straight from the
invoice. Choose **Connect with Stripe** to finish Stripe's setup in a new tab; this
page updates to **Stripe connected** once Stripe confirms. If you stop partway, choose
**Continue Stripe setup** to pick up where you left off.

Not ready? Choose **I'll set this up later**. You can still record checks, cash and
bank transfers yourself, and connect Stripe later in
[Stripe Connect payouts](https://docs.moodiri.com/settings/connect-stripe-payouts). Changing payouts later needs
the owner or an admin with the **Payouts** permission.

## Step 5 Processing fees

Choose how online payment fees are handled:

- **Firm absorbs all processing fees**: clients see only the invoice total, and fees come out of your payment.
- **Add permitted card fee, absorb ACH** (recommended): clients paying by card see the allowed fee; your firm absorbs the lower bank-payment fee.
- **Add permitted fees to online payments**: eligible card and bank-payment fees are shown to the client before they pay.

You can change this later in [Invoicing](https://docs.moodiri.com/settings/invoicing).

## Step 6 Choose your plan

Pick **Monthly** or **Annual** billing. Your plan includes your own seat; use **Add a
seat** and **Remove a seat** under **Add additional seats** for teammates you plan to
invite. Choose **Continue to checkout** to pay in Stripe's secure checkout. When
payment is confirmed, the heading changes to **Your plan is active**.

If a payment needs attention, Moodiri shows **Your subscription needs payment
attention**; choose **Resolve payment** to fix it before you continue. Manage your plan
later in [Billing and subscription](https://docs.moodiri.com/settings/billing-and-subscription).

## Step 7 Invite teammates

Under **Invite your teammates**, enter a teammate's **First name**, **Last name** and
**Email address**, pick a **Role** (**Member** or **Admin**), and choose **Send
invitation**. For an Admin, choose **Standard**, **Full access** or **Custom**
permissions. You can add a photo for them, or tick **Let ... upload their own photo**.

Each invitation uses one of your paid seats, and the step shows how many are left.
Teammates can be assigned to projects once they accept. Choose **Skip for now** to
invite people later from [Invite people](https://docs.moodiri.com/settings/invite-people).

## Step 8 Client and invoice defaults

Set who represents your firm on new projects. Choose **Edit** to open **Edit client
defaults**, then set:

- **Client-facing contact**: shown in the client portal and used as the reply-to on project emails.
- **Default project manager**: **Same as client-facing contact** or **Different person**. This tracks responsibility; it doesn't grant project access.
- **Invoice copies**: **Do not send copies**, CC or BCC every invoice-authorized teammate, or **Choose teammates**.

Choose **Save defaults**, then **Continue**. Existing projects keep their current
assignments. Change these later in [General](https://docs.moodiri.com/settings/general).

## Step 9 Create your first project

Add one real project now: **Project name**, **Client name** and **Client email**, then
choose **Finish onboarding**. Or choose **Skip for now** and create it later from your
dashboard. See [Create a project](https://docs.moodiri.com/projects/create-a-project).

## What happens next

- Moodiri shows **You're all set**. Choose **Go to dashboard** to open your workspace.
- If you created a project, it is ready for spaces, products and approvals. Invite your client to the portal when you're ready to share: see [Invite a client to the portal](https://docs.moodiri.com/projects/invite-a-client-to-the-portal).
- Teammates you invited get an email and join once they accept. See [Accept a team invitation](https://docs.moodiri.com/getting-started/accept-a-team-invitation).

## Limits

- Only the firm owner can complete onboarding.
- Logo and profile photos must be JPEG, PNG or WebP.
- Portal addresses use 3 to 40 letters, numbers and single hyphens, and some addresses are reserved.
- Each teammate invitation uses a paid seat. Plans hold up to 500 seats.

## Troubleshooting

- **Enter your full name to continue.** or **Enter your business name to continue.**: fill in the required field.
- **Pick an available client portal address to continue.**: the address is taken or reserved. Try another.
- **Only JPEG, PNG, and WebP images are allowed.**: save the image in one of those formats and upload it again.
- **Your Stripe setup isn't complete yet. Click above to continue.**: Stripe still needs details from you. Choose **Continue Stripe setup**.

## Questions

### Can I stop halfway and come back?

Yes. Open the account menu (your photo, top right) and choose **Save & exit**. Moodiri saves what you entered and signs you out. Next time you log in, you return to the step you left.

### Can I change these answers later?

Yes. Everything here lives in Settings afterwards: profile, business details, branding, invoicing, payouts, team and billing.

### Do my teammates see onboarding?

No. Only the firm owner goes through onboarding. Invited teammates go straight to the workspace.
